Where it falls apart is when you treat Make like a transactional backend.

It performs best when orchestration visibility matters more than ultra-low-latency execution guarantees.

Weak Fit Scenarios

Make becomes weaker when you need real-time transactional guarantees, ultra-high-frequency event processing, engineering-grade backend control, millisecond-sensitive execution, or deep infrastructure-level observability.

At that point, a custom Node/Python service with a proper queue (BullMQ, SQS) is structurally more reliable. I’ve made that call twice in the last year and don’t regret either one.

Common Mistakes Teams Make Before Scaling API Automations

Over-Automating Unstable Processes

Automation amplifies operational structure. It doesn’t fix broken processes.

I had a client whose lead qualification process changed roughly every 3 weeks. We automated it three times. Each rebuild was 4–6 hours. After the third one, I told them we’d build it again only after the process was stable for 60 days. They came back two months later with a settled process. That build held for 14 months.

If your underlying workflow keeps changing, automation isn’t the answer yet.

Treating API Errors Like Temporary Exceptions

The moment your workflows start resembling backend infrastructure, the trade-offs get harder to ignore — and that’s usually when I start pulling logic out of Make and into actual code.
